2. Retention
- We delete personal data without delay once its purpose has been fulfilled.
- Exam records and submitted paperwork are kept for as long as FCC rules (47 CFR Part 97) and our VEC require.
- VE Portal account data is kept until the account is closed or the VE stops serving.
- Google Analytics usage data is deleted automatically after the retention period set in Google Analytics (at most 14 months).
- Where a law requires us to keep data, we keep it for that period.
3. Disclosure to third parties
We disclose personal data to third parties only with your consent or where the law allows it. Exam results are sent to the following bodies so that licenses can be issued.
| Recipient | Purpose | Data |
|---|---|---|
| SANDARC VEC (USA) | Reviewing exam results and filing them with the FCC | Candidate identity data, exam results and session paperwork |
| U.S. Federal Communications Commission (FCC) | Issuing amateur radio licenses | Information on the FCC application (NCVEC Form 605) |
4. Processors and international transfers
We use the providers below to run the website and exams. Data reaches providers outside Korea over the network when the service is used, and they process it for as long as we use their service.
| Provider (country) | Service | Data transferred |
|---|---|---|
| Exam.tools (USA) | Exam registration and running remote and in-person sessions | Candidate data and exam results |
| Google LLC (USA) | Sending email (Gmail), scheduling (Google Calendar), usage statistics (Google Analytics) | Email address, name, email content, usage data and cookie identifiers |
| Cloudflare, Inc. (USA) | Website delivery and security, forwarding incoming email | IP address, access logs, incoming email |
| Channel Corp. (South Korea) | Live chat (Channel Talk) | Chat messages, contact details you enter, connection data |
If you do not want data transferred abroad, you can email us instead of using a service such as live chat. Taking an exam and receiving exam emails are not possible without these providers.
6. Your rights
You may at any time ask to access, correct or delete your personal data, to stop its processing, or to withdraw your consent. Email [email protected]; after verifying your identity we will act without delay (within 10 days at the latest) and tell you the outcome. You may also ask through a representative with a letter of authorization.
Deletion may be limited for records we must keep by law, or exam records already filed with the FCC or our VEC.
7. Deletion
When the retention period ends or the purpose is fulfilled, we delete the data without delay. Electronic files are deleted so they cannot be recovered; paper documents are shredded or incinerated.
8. Security measures
- All traffic is encrypted with HTTPS, and passwords and verification codes are stored in a form that cannot be reversed.
- Exam result files are kept in separate, non-public storage and are released only after identity verification.
- Access to personal data is limited to examiners and administrators, and permissions are managed.
9. Visitors from the EEA and UK (GDPR)
- Legal bases: exam requests and exams are services you ask for (GDPR Art. 6(1)(b)); security logs rely on legitimate interests (Art. 6(1)(f)); analytics cookies rely on your consent (Art. 6(1)(a)).
- Rights: in addition to the rights in section 6, you have the right to data portability and to object, and you may lodge a complaint with the data protection authority where you live.
- International transfers: transfers to U.S. providers rely on their EU Standard Contractual Clauses (SCCs) or the EU–U.S. Data Privacy Framework.
